~ Our client is a Belgian Engineering office active in Life Science Industries (Pharmaceutical and Biotechnology), with expertise in Qualification & Validation.
With a constant evolving team, currently composed of 30 Consultants and staff and, offices in Ghent and in the future new offices in Wallonia, for our client we are now looking for a HR Manager or HR Coordinator (permanent contract or freelance assignment) speaking FR + DU + fluency in ENG.
Hard HR
You coordinate the employee life cycle by following-up on the on-and offboarding process, ensure that mutations, promotions, and organizational changes are correctly processed in the HR systems: Preparing all legal documents and work contracts to onboard new employees: Handle HR administration, including holidays, and contracts: Managing day-to-day HR administrative tasks
Draft and prepare employment contracts in compliance with regulations for employees, freelancers, and interns: Creating compliant contracts
You are in charge of the monthly payroll & exceptional payroll activities (Bonus, Flexible Income Plan, warrant plan, holiday pay, 13th month, etc.): Managing payroll processing
Manage the payroll and package for employees (11 people): Overseeing compensation packages
Collect timesheets of the freelance and external consultants (12 people): Tracking and managing work hours
You manage the external workforce within the insurances/Comp&Ben suppliers: Managing relationships with external benefits providers
You manage the company car fleet (11 cars) and deal with the leasing and rental partners: Overseeing fleet management
Optimize HR processes and maintain up-to-date documentation: Updating and refining HR procedures
Soft HR
Onboarding the new employees, interns & contractors: Manage onboarding and offboarding activities to create a seamless employee experience: You keep employees well-informed about people updates, HR news & events through posts on the internal communication channels: Act as the SPOC (Single Point of Contact) for all HR-related queries from employees, freelancers, and management: Acting as the primary contact for all HR inquiries
Address recruitment challenges by sourcing, interviewing, and building a talent pool for engineering projects: Engaging in active recruitment and talent management
You shape and implement the learning and development plan for the employees, and you organize the trainings with the trainers and training centres or providers: Developing and managing training programs
You participate in the organization of staff events such as our quarterly drinks, Christmas drink, Family Day, team building, etc.: Enhancing employee engagement through event planning
You lead in HR projects to further optimize our HR processes, tools, and systems: Leading HR projects to improve efficiencies
You participate in the weekly management meetings to report the HR issues and future actions accordingly: Communicating HR updates and plans at management meetings
Beside the daily HR strategy & daily management, you will lead punctual HR projects like
Improving or updating the HR handbook, company rules, car policy, working policies, annual evaluations, learning and development policy, training needs, salary grid, Comp&Ben optimisation, a work life balance policy, timesheets, etc
Developing, improving, and implementing a standard recruitment process and the referral system
Advising on the management of the LinkedIn Company page, job boards forecast and budget, onboarding project, Juniors’ recruitment, partnerships with Universities and Schools, among others
Selecting and Implementing an ATS and other HR “Tech tool” if needed
will demonstrate a broad HR experience as HRM, HRBP, HR Coordinator or HR Generalist
are a good communicator in French and Dutch (both outstanding, min. C1) and a good level of English (fluent, min. hold a related bachelor’s or master’s degree
have an extensive experience in shaping HR Strategies, leading HR projects, improving HR processes and implementing HR tool
have strong knowledge of current Belgium and Netherlands employment law, procedures, processes, and a good understanding of key trends in the HR market
have a HR strategy and process experience with proven track records
are a passionate HR professional with a large experience in recruiting technical profiles for a small business with tight deadlines
