Job Description:
We are seeking a motivated Receptionist with idiomatic fluency in Dutch to join our team for a new data collection project in Antwerp, Belgium.
As our Receptionist, you will play a pivotal role in ensuring that our project runs smoothly, appointments with project participants are efficiently scheduled and managed, and deadlines are met.

Role Summary
This role involves communicating with potential participants via phone or email, screening them based on defined criteria, and scheduling them according to their availability.
Responsibilities also include preparing a presentation deck, welcoming participants, verifying identification, guiding them through necessary procedures, and maintaining accurate documentation to support seamless session execution.
Additionally, this role requires proactive schedule management, team coordination, and participant care to ensure a smooth and professional research experience.
This position serves as the first point of contact between the team and study participants.
Work Responsibilities
* Assist in preparing a presentation deck for client security clearance, which may include site visits, taking photos, testing bandwidth, and general security checks.
* Validate participants via phone calls and emails, check their availability, and schedule appointments based on project needs.
* Answer candidate inquiries, provide logistical details, and ensure transparent, up-to-date communication.
* Send reminders to participants, manage session schedules in advance, and adjust for cancellations by finding replacements.
* Welcome participants onsite, verify their identification, oversee the ICF signature process, assign identifiers, and guide them to the appropriate collection area.
* Ensure participant information is logged correctly, maintain scheduling and resource planning files, and document project updates.
* Coordinate with the project team on scheduling updates, reflect changes in planning documents, and facilitate adjustments as needed.
* Treat participants with respect, provide clear instructions, and ensure they understand the study's purpose.
* Maintain daily communication with the project team, ensure alignment on scheduling, and provide updates for smooth project execution.
Requirements
* Available to work onsite in Antwerp, Belgium.
* Idiomatic fluency in Dutch.
* Advanced English language skills.
* Available for the duration of the project.
* Able to work a flexible schedule as needed.
* Proficient in computer skills for data entry, report production, and scheduling.
* Resilient with a strong ability to adapt to feedback and shift focuses quickly.
* Detail-oriented with excellent communication skills, including phone, email, and electronic media, and experience working as part of a team.
* Ready to support moderators, project coordinators, and managers at achieving the desired goal.
Preferred Work Requirements
* Experience in scheduling, reception, customer service, or similar roles.
