Key Responsibilities for This Role Include:
4. Draft and edit non-complex legal documents such as shareholder resolutions
5. Review and verify the correctness of non-complex legal documents created by others
6. Conduct and coordinate independently and without supervision the execution of legal documents, including documents requiring notarization and legalization, always considering necessary elements such as timing requirements, necessary sequence of events, signing authority, etc.
7. Conduct and coordinate independently document collection for Know Your Customer (“KYC”) and auditor requests
8. Coordinate with different stakeholders (auditor, notary, external directors, GIS, Treasury, Finance, and Tax team)
9. Correctly and timely enter corporate housekeeping updates into GEMS and maintain the system complete and always up-to-date, solving complex uploading maneuvers such as shareholder changes or mergers
10. Operate the legal invoicing system ONIT and independently handle the registration of law firms in ONIT, the creation of matters, and if needed, the uploading of invoices to enable proper payment
11. Follow up if invoices remain unpaid
12. Collaborate with other legal team members on specific projects, such as extensive contract review projects in connection with merger filings or internal projects
13. Assist the lawyers of the team in any other area required
The minimum qualifications for this role are:
14. Bachelor’s Degree in Law or Management Assistant or equal by experience in an administrative role
15. Minimum of 5 years of relevant experience in a large international corporate environment
16. Bilingual EN/NL, knowledge of FR is a plus
17. Exceptional organizational and communication skills
18. Diplomatic, autonomous, meticulous, and analytical mind-set
19. Able to anticipate and plan effectively to meet deadlines
20. Efficient in updating databases to ensure information remains accurate and current
21. Precise, with a sense of initiative and solution-oriented
22. Proficient with Microsoft Office products
23. Able to work in a complex matrix environment
