Responsibilities and Actions
The ideal candidate will be responsible for:
- Coordinating the employee life cycle by following-up on the on-and offboarding process
- Ensuring that mutations, promotions, and organizational changes are correctly processed in the HR systems: Handling administrative changes and updates
- Preparing all legal documents and work contracts to onboard new employees: Ensuring legal compliance in hiring
- Managing day-to-day HR administrative tasks
- Drafting and preparing employment contracts in compliance with regulations for employees, freelancers, and interns: Creating compliant contracts
- Managing payroll and exceptional payroll activities (Bonus, Flexible Income Plan, warrant plan, holiday pay, 13th month, etc.)
- Overseeing compensation packages for employees (11 people)
- Processing the payment of payroll and expenses: Coordinating with external payroll services (SD Works)
- Collecting timesheets of freelance and external consultants (12 people): Tracking and managing work hours
- Managing the external workforce within insurances/Comp&Ben suppliers: Managing relationships with external benefits providers
- Managing the company car fleet (11 cars) and dealing with the leasing and rental partners: Overseeing fleet management
- Optimizing HR processes and maintaining up-to-date documentation: Updating and refining HR procedures
Soft HR
The ideal candidate will also be responsible for:
- Onboarding the new employees, interns & contractors: Ensuring new hires feel welcome and are effectively integrated into the company
- Managing onboarding and offboarding activities to create a seamless employee experience: Ensuring smooth transitions for employees entering or leaving the company
- Conducting exit interviews and providing insights to improve retention: Gathering feedback from leaving employees to enhance retention strategies
- Keeping employees well-informed about people updates, HR news & events through posts on internal communication channels: Communication via WhatsApp, emails, and LinkedIn Company page
- Acting as the SPOC (Single Point of Contact) for all HR-related queries from employees, freelancers, and management: Acting as the primary contact for all HR inquiries
- Addressing recruitment challenges by sourcing, interviewing, and building a talent pool for engineering projects: Engaging in active recruitment and talent management
- Shaping and implementing the learning and development plan for the employees, and organizing the trainings with the trainers and training centres or providers: Developing and managing training programs
- Participating in the organization of staff events such as quarterly drinks, Christmas drink, Family Day, team building, etc.: Enhancing employee engagement through event planning
- Leading in HR projects to further optimize our HR processes, tools, and systems: Leading HR projects to improve efficiencies
- Participating in the weekly management meetings to report the HR issues and future actions accordingly: Communicating HR updates and plans at management meetings
