Position Summary
As an Internal Experience Specialist, your primary role is to provide an all-round internal customer experience. You will closely collaborate with our Leadership, District Office and Support team. You will also be a strong liaison with our CSC Support teams and a contact point for visitors internally and externally in the offices.
You will be responsible for several dedicated offices (our offices in Roeselare, Ghent, Antwerp & Hasselt) and together with your colleagues you are a national team, ensuring coverage across all BeLux offices. You will be reporting to Manager of District Operations.
Principal accountabilities and duties:
Activities for this position may include, but are not limited to, some or all of the following, depending upon office size and market needs:
Internal Customer Experience
* Offering the best possible workspace for your colleagues through
o Ensuring meeting rooms and offices stay clean and professional, including storage areas
o Capturing IT and Facilities related issues and provide the necessary communication
o Collaborate with Health & Safety officer to be compliant with needs
o Following fire training and creating the necessary awareness in branches
o Coordinate evacuation exercise
o Following first aid training and creating the necessary awareness in branches
o Order & follow up on office supplies
o Follow up on the shared inbox of your team where topics are gathered
* Create a consistent employee experience across the different offices
* Create and follow up on PO numbers
* Reception on demand i.e. when having events, meetings, trainings,…
* Coordinate trainings in the offices in close collaboration with Learning and Development and offer administrative support
* Coordinate visits to the offices (national/international colleagues, vendors, external parties…)
* Create consistent awareness around Google Reviews to the offices
* Sending the CLS survey feedback consistently to the sales leadership and other CSC support teams if applicable (domo)
Support Management on events, meetings & incentives
* Local meetings and events
o A-Z assistance on local meetings and events
o Prepare presentations such as quarterly presentations, regional meetings, …
o Organize and coordinate local celebrations
* Local incentives
o Coordinate local competitions and incentives
o Coordinate and/or support sales day, recruit day, mix & match day
* National Meeting, Events and Incentives
o Collaborate with the District Operations Specialist on national meetings & events
o Support on national charity campaigns as well as local charity campaigns
o Organize and coordinate national special celebrations i.e. Employee Appreciation Day, Christmas party, Earth Day,…
* Prepare visuals for internal and external posts of events, meetings, incentives, …
* Organize and coordinate regional/local clients and candidates (network) events
* Follow up on budgets i.e. motivational budgets, client lunches, …
* Manage local subscriptions and memberships
On- and offboarding internal colleagues (new hires & interns)
* Ensure a 5 star onboarding new hires and interns
* Ensure a professional offboarding to leavers
Campus recruitment
* Onboard the intern in collaboration with the support teams
* Coordinate job-fairs and -events, recruitment trainings and partner with field and marketing
Support field teams
* Create Canva visuals for jobs / candidates
* Offer support to other teams in lower season i.e. summer months where traditionally are less events, meetings, incentives, …
Profile
* You thrive when working with a lot of different colleagues and teams and you feel at home quickly when visiting other offices.
* You are a wizard when it comes to organizing events, meetings, incentives and you have excellent communications skills.
* You are a true problem solver and you communicate hands-on, constructive and/or with flair and humor about IT issues and facility topics to reduce distraction towards our colleagues.
* You are dynamic and flexible and you like the quote "life is like a box of chocolates". Having your day turned out differently due to urgent priority switches sounds excited for you.
* You are a team player and sharing best practices comes to you naturally.
* You take ownership and you take honor in managing the offices to make it a great place to work in at any time.

* You have a good knowledge of Dutch and English, knowledge of French is a nice to have. In this role we expect a weekly presence in each of the assigned offices.
* You are in possession of a drivers license
