Headquartered in Belgium, the Global Operations team provides a range of services and support to the group, including Finance & Reporting, Corporate Affairs & Legal, Marketing & Communications, Technology, Events, Learning and more. We are seeking a highly organized and proactive Team Assistant to support this dynamic team. This role is crucial in ensuring the seamless execution of our global operations, initiatives and projects, fostering collaboration across our network, and maintaining high operational efficiency. Key Responsibilities: Administrative Support Manage calendars, meeting agendas, and organize travel. Maintain records, files and databases to ensure easy access and accuracy. Handle incoming calls and inquiries from our offices worldwide. Finance Operations Support Invoicing and cash collection Back up to the Finance Manager Project Management & Coordination Work closely with the Global Operations team to assist in planning, tracking, and executing multiple concurrent initiatives across various group functional areas. Maintain project timelines, deliverables, and documentation to ensure deadlines are met. Provide support to global programs, including drafting of documents, presentations, data entry and document management. Operational Efficiency Identify process improvements and implement best practices to enhance team productivity. Coordinate the development and maintenance of operational procedures. Manage vendor relationships as needed. Stakeholder Engagement Act as a central point of contact for the Global Operations team, responding and/or redirecting queries and requests. Build strong relationships with global offices and key partners. Committee & Corporate Governance Support Assist in planning & reporting on committee meetings. Support the organization on policy & legal matters. Required Skills & Qualifications: Experience: Minimum of 5 years of experience in administrative support and/or project management roles. Project Management Skills: Ability to manage multiple projects & tasks simultaneously with attention to detail and strong organizational skills. English language fluency: Fluent/native English is required, for both verbal and written communication. Professional and sophisticated communication style. Communication Skills: Excellent written and verbal communication skills; ability to engage diplomatically with diverse stakeholders. Technology Proficiency: Strong proficiency and affinity for technology (eg. MS Office Suite, virtual meeting platforms, social media platforms, AI tools, etc).
