We are seeking a proactive and organized Receptionist / Office Assistant to join our fast-paced Madrid office. What You'll Do

* Answer and direct incoming phone calls, taking messages as necessary, and managing communications across different time zones to support our global operations.
* Manage the reception area, ensuring it is tidy and presentable, fostering a welcoming atmosphere for our international clientele.
* Handle incoming and outgoing mail and packages, including coordination with courier services for global shipments.
* Assist with scheduling meetings and conference room bookings, accommodating various time zones and participants from different regions.
* Support the office administration team with various tasks, including data entry, filing, and document preparation, to ensure smooth operations aligned with our growth objectives.
* Maintain office supplies inventory and assist with ordering supplies as necessary, considering the needs of a dynamic, multinational team.
* Coordinate travel arrangements and itineraries for team members traveling for global business, ensuring efficient logistics.
* Assist with onboarding new employees and training on office protocols, contributing to a cohesive and results-driven global workforce.
* Provide general administrative support to various departments as needed, actively contributing to the efficiency and effectiveness of our high-growth initiatives.
What You'll Bring
* Proven experience as a receptionist, office assistant, or in a similar role.
* Excellent verbal and written communication skills in both Spanish and English; proficiency in additional languages is a plus and highly valued.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced, results-driven environment.
