The company is growing day by day, and all the teams need to grow with it. To help us welcome best international candidates, we are looking for a very dynamic HR Assistant to join our Payroll Team.
This role is responsible for handling the entire process of obtaining single work permits for non-EU employees, from their country of origin to their arrival in Belgium. The role also includes managing administrative tasks related to their relocation, such as booking accommodation and ensuring a smooth transition.
Because of this key role in the company, you will share your time between our Belgium offices based in Grand-Rosière and Louvain-la-Neuve.
Responsibilities
1. Work Permit Process Management:
2. Prepare and submit work and residence permit applications for non-EU employees
3. Follow up on work permit applications
4. Assist candidates with the preparation of required documents
5. Relocation Coordination:
6. Organize logistics for new employees
7. Manage all of the suppliers
8. Support expatriates with administrative processes upon arrival
9. Provide information on local services, transportation, and other practical aspects to ensure a smooth integration
10. Administrative Support:
11. Maintain accurate and up-to-date records for each expatriate employee in compliance with legal and company requirements.
12. Collaborate with the Payroll team to ensure smooth integration of new hires into payroll and HR systems.
13. Monitor work and residence permit expiration dates and initiate renewal processes on time.
14. Support in the recruitment team (events, jobfairs).
Must Have
15. Fluent in English & French
16. Degree in HR, administration, law or any related field
17. Very strong structure and organizational skills
18. Ability to manage multiple projects
19. Attention to detail
20. Proactivity and autonomy
Nice to Have
21. Previous experience in work permit processing, global mobility or HR administration
22. Fluent in dutch
23. Available quickly
24. Interest in the IT industry
25. Knowledge of the Belgian immigration procedures
