We are seeking a detail-oriented and organized Administrative Logistics Officer to join our Customization Center in Beveren. This role is pivotal in ensuring seamless logistics operations, including SAP system updates, machine registration, customs compliance, and billing accuracy. The ideal candidate will have a proactive mindset and the ability to manage multiple tasks efficiently.
Key Responsibilities:
1. SAP System Management:
Maintain and update SAP systems with accurate logistics and equipment data.
Monitor and ensure timely follow-up on SAP notifications, transactions, and workflows.
2. Equipment Registration:
Register new construction equipment upon arrival, ensuring all details are accurately recorded in the system.
Collaborate with relevant departments to confirm equipment specifications and documentation.
3. Customs Documentation:
Coordinate and follow up on customs clearance documents to ensure compliance with local and international regulations.
Liaise with customs authorities, brokers, and internal stakeholders to resolve issues promptly.
4. Billing and Financial Accuracy:
Verify and process billing statements related to logistics and equipment.
Cross-check invoices against purchase orders, shipping documents, and other records to ensure accuracy.
Address discrepancies and coordinate with vendors or internal teams for resolution.
5. General Administrative Support:
Organize and maintain records of shipments, customs documents, and invoices.
Assist in the development and improvement of logistics procedures and policies.
Minimum Requirements:
1. Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
2. Proven experience in logistics coordination, administrative support, or a similar role, ideally within the construction equipment or heavy machinery sector.
3. Proficiency in SAP and other logistics/ERP systems.
4. Strong knowledge of customs documentation and regulations.
5. Advanced skills in Microsoft Office Suite (Excel, Word, Outlook).
6. Exceptional attention to detail and organizational skills.
7. Strong problem-solving abilities and a proactive approach to challenges.
8. Excellent verbal and written communication skills in English and Dutch.
9. Ability to work independently and collaborate with cross-functional teams.
