Role description:
In the Project Support Office, the Document Controller will play a pivotal role in assisting one or more project teams by overseeing document control across various stages of infrastructure projects. Main roles and responsibilities are described below:
1. Refining and implementing the processes, procedures, and tools as outlined in the document management plan.
2. Overseeing the management and control of document management processes.
3. Coordinating all tasks related to the Document Management procedure, including managing the Document Register and document distribution.
4. Proposing enhancements to the Document Management process, procedures, and tools as needed, and generating relevant KPIs and reports.
5. Performing quality checks on all incoming formal project documents before their validation by the project team, and on all internally created project documents before their approval and dissemination.
6. Managing the Document Management Information System (Aconex), including overseeing all appropriate access rights and modifying the system configuration as required.
The Document Controller should be adaptable and flexible, ready to integrate additional requirements into their role as necessary. This might include providing training to new team members on document control processes, participating in project meetings to provide updates on document status, and maintaining confidentiality of sensitive project documents.
Qualifications & Experience:
7. Bachelor's degree with a strong inclination towards working in a technical environment.
8. Prior experience as a Document Controller is mandatory.
9. Experience with Aconex is highly desirable.
10. Experience as a Document Controller on large infrastructure projects is a significant advantage.
11. Expert knowledge of MS Office suite and Document Management Software (Aconex and SharePoint).
12. Strong organizational skills.
13. Excellent verbal and written communication skills in English and a good knowledge of French or Dutch
14. An assertive communicator with strong interpersonal skills.
