What you will be doing
Ecorys Brussels seeks a motivated and proactive Administrative Assistant to support our Policy and Research Team in daily administrative tasks and project implementation. In this role, you will also support the “European Climate Pact Secretariat” project, ensuring the smooth operation of daily administrative tasks and contributing to the success of this vital initiative.
As an Administrative Assistant your role will include but is not limited to:
1. Contract Management: Assist in preparing and managing contracts with project partners, subcontractors, external stakeholders, and other Ecorys offices.
2. Project Organization: Organize and maintain project schedules, trackers, and databases using Excel.
3. Document Preparation: Edit and format project reports and key documents; create document and email templates.
4. GDPR Compliance: Support GDPR coordination and compliance under the supervision of the DPO.
5. Budget Monitoring: Collaborate with the financial department to monitor project budgets and expenses; assist in preparing financial reports.
6. Expense Tracking: Track expenses from partners and subcontractors.
7. Project Coordination: Aid the project manager in overall project coordination, including communications, preparing key meeting documents, responding to email inquiries, and submitting reports.
8. Meeting Support: Provide logistical support for online and in-person meetings, including booking calendars, arranging travel, and preparing minutes and other materials.
9. Additional Duties: Undertake other duties as required.
What we will need from you
Essential
10. Bachelor’s degree or equivalent
11. Minimum of 6 months of experience in project administration or similar roles
12. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
13. Fluency in written and spoken English
14. Strong attention to detail, time management, and organizational skills
15. Discretion in handling sensitive information
16. Ability to manage competing priorities with tight deadlines
17. Strong teamwork and interpersonal skills in a multicultural environment
Desirable
18. Experience with EU-funded projects
19. Knowledge of EU institutions

We offer you a full time Junior Consultant position under a 6-months Belgian traineeship contract (CIP). The indicative remuneration is 0€ average net per month. Our package also includes a homeworking allowance (,€), public transportation subscription reimbursement, meal vouchers (8€/day) and 5 vacation days. As part of our recruitment policy, the intention is to follow up with a Belgian employment contract upon good performance.
