Customer Service & Logistics Specialist
Phibro is hiring a Customer Service & Logistics Specialist for our office at Wavre, Belgium. Reporting to the Senior Director, EU Operations.
With Phibro’s recent purchase of Zoetis’ MFA product line, and several new Phibro Medicated Feed Additive (MFA), Nutritional Feed Additive (NFA), and Veterinary Medicinal poultry product launches planned for the coming year – Phibro is in the process of greatly expanding its team in Europe.
As part of this, we have an exciting new position for a Customer Service & Logistics Specialist based at our European Operations Centre in Wavre, Belgium. In this role, you will work closely with internal office and commercial teams across multiple countries and cross-functionally to ensure compliant and efficient on-time service delivery in Supply Chain, Purchasing, Warehousing, Quality, Logistics, Freight, and Customer Services. The goal will be to meet the business units’ priorities while complying with product regulations and improving operational effectiveness and efficiency.
RESPONSIBILITIES
1. Order management
* Receive, verify, and process customer orders via various channels.
* Ensure that all orders are correctly recorded in the company's order management system.
* Coordinate with internal departments (planning, logistics, quality) to ensure product availability and order compliance.
* Plan and monitor the dispatch of orders in collaboration with the logistics department.
* Inform customers of order status and any changes to delivery times.
* Manage returns, exchanges, and refunds in compliance with company policies.
* Act as the main point of contact for customers regarding their orders.
* Respond promptly to customer inquiries and resolve order-related issues.
* Maintain clear and professional communication with customers throughout the ordering process.
1. Order administration
* Maintain up-to-date order files, including purchase orders, invoices, and shipping documents.
* Produce regular reports on order status, processing times, and overall performance.
* Participate in forecast meetings.
EDUCATION
Minimum bachelor's degree in business, ideally in logistics/supply chain field.
EXPERIENCE
* Minimum 5 years’ experience of logistics in B2B (Business to Business) product sales.
* Logistics experience ideally in the Animal Health/Nutrition or Pharmaceutical sector.
* Experience with logistics/planning systems e.g. JD Edwards.
