MCI Benelux SA is looking for an enthusiastic Event - Exhibition Coordinator.
As an Event Coordinator, you will work closely with the Event Management Team to deliver national and international events and your role consists of:
Project Management Assistance
1. Assist the Manager to deliver hybrid and face-to-face events from A to Z (design, plan, organise, deliver, measure results and impact),
2. Assist in creating exhibition manuals and guidelines for exhibitors and sponsors,
3. Understand and get all the regulations/measures linked to the exhibition place,
4. Be the key contact for exhibitor and sponsors,
5. Support sales to generate revenues linked to exhibition or special partners,
6. Execute some aspects of the events against strict project timelines based on priorities and project requirements,
7. Deliver a full support on-site on different key aspects of the event
8. Assist with all source project-related third-party suppliers appropriately and effectively, in line with MCI’s procurement guidelines,
9. Advocate a high level of service attitude and professionalism, which includes some industry knowledge and understanding,
10. Great customer services and solution oriented with ability to work under tights delays,
11. Provide relevant reporting to multiple stakeholders (internally & externally).
Finance Support
12. Support to the Manager on all financial processes related to the project/event budget(s),
13. Capability to understand event budgets and assist in financial reconciliations,
14. Adherence to existing SoPs and financial guidelines.
Communication
15. Co-articulate and participate to the revision of all communication linked to the event with the client (i.e.: speaker briefing, script development, e-blasts, website content, etc.),
16. Co-creation of event websites according to the given instructions (i.e.: content, speaker, registration) with the Customer Care Department.
Admin, IT & Tools
17. Demonstrate effective set-up and usage of available event management software or capability to learn quicly,
18. Respect of the GDPR regulations related to events and all connected activities.
What is expected from this profile?
19. Eligible to work in the EU,
20. Fluent in English (verbal and written level C1); any additional European language is a plus,
21. Bachelor or Master’s degree in Business Management, including but not limited to Event, Hospitality, Tourism Management and Corporate communication or other relevant studies,
22. A minimum of two (2) years’ experience in a similar function or relevant industry,
23. Assertive, proactive, client-centric but also flexible, agile and committed especially in busy periods,
24. Team player but also enjoy working independently (without constant intervention from a Manager),
25. Eye for detail and problem-solving minded,
26. Time management skills as part of your DNA,
27. Proficient in the Microsoft Office package (Word, Excel, PPT, Teams)
28. Quick learner and easily adapt to a fast-paced environments,
29. Willing to travel all around the world,
