To support this growth, we are looking for a highly organized and hands-on Group Operations Coordinator.
The Role:
The Group Operations Coordinator is a critical role within Quatra, acting as the right hand of the Chief Operating Officer (COO). This position is crafted for a professional who thrives at the intersection of operational excellence and outstanding customer service — ensuring operational follow-up, coordination of group-wide initiatives, and ensuring execution of key priorities, while keeping internal and external stakeholders engaged and satisfied. The Group Operations Coordinator will work closely with the COO to coordinate and align group-wide operational initiatives, ensure follow-through on strategic priorities, and facilitate execution across countries and departments. This role is not administrative but rather focused on driving collaboration, consistency, and operational excellence across the organization, while at the same time reinforcing a culture of customer-centric service delivery.
This position requires a high level of emotional intelligence (EQ) and strong interpersonal skills to work effectively with country managers and teams in different cultural settings. While strategies are often developed by leadership, this role focuses on executing them. In many cases, the Group Operations Coordinator will take ownership of translating strategy into concrete, measurable results, removing roadblocks, and continuously improving processes that benefit both operational excellence and customer satisfaction.
Your key responsibilities as Group Operations Coordinator:
Operational Coordination & Execution:
* Support the COO in managing and monitoring group-wide operational initiatives across countries and departments.
* Proactively follow up on key performance indicators (KPIs) and operational dashboards to ensure progress and alignment.
* Coordinate and prepare strategic meetings, including agenda-setting, content preparation, and stakeholder alignment, and post-meeting action tracking.
* Act as a liaison between the COO, local operations teams, and country managers to ensure consistent communication, smooth coordination, and effective implementation of group-wide goals.
Project Support & Tracking:
* Track the implementation of strategic and tactical projects driven by the COO, with a clear focus on timely delivery and impact.
* Prepare structured project updates and insights that support informed decision-making by the COO.
* Ensure timely execution and delivery of operational milestones.
* Identify blockers early on, work collaboratively to resolve them, escalating when necessary to maintain momentum.
* Take initiative in resolving cross-functional issues to keep projects on track.
Process Optimization:
* Assist in the identification and standardization of best practices across countries.
* Help set up and document operational processes and procedures for more efficient group functioning.
* Work closely with local teams to monitor adherence to agreed processes and suggest improvements.
Support Role to COO:
* Prepare operational briefings, documentation, and presentations for internal and external use.
* Be a sounding board and execution partner for the COO in day-to-day operations.
* Manage the COO's operational priorities and help structure workload and follow-up.
* Proactively flag areas where the COO’s attention is required and ensure timely follow-through.

* A degree in Business Administration, Logistics, Operations Management, or a related field.
* 5+ years of experience in an operational or coordination role within an international organization.
* Strong organizational and communication skills.
* Hands-on mentality with a focus on structure, execution, and results.
* High emotional intelligence (EQ) with the ability to influence and collaborate across different teams and cultures.
* Fluent in English and Dutch; other European languages are a plus.
* Willingness and flexibility to travel frequently to offices in Belgium, the Netherlands, UK, Sweden, Spain, and France.
