In this role, you’ll be the backbone of our office, helping with everything from scheduling client meetings to keeping things on track between departments. A bit of experience in administration is preferred, and being fluent in both French and English is a must—because we love to work in both languages!
Responsibilities:
* Be the First Point of Contact: Answer calls with a smile (yes, they can hear you smile!) and direct them to the right person. Greet office guests in a friendly, welcoming manner, making them feel right at home.
* Master of Scheduling: Manage calendars, book meetings, reserve conference rooms, and coordinate travel plans. From setting up dial-ins to making sure everything is in place, you’ve got it covered!
* Keep the Office Running: Handle office supply orders, track inventory, and ensure we never run out of essentials. You’ll be the office’s go-to for everything we need!
* Documenting Like a Pro: Draft, edit, and proofread internal and external communications in both French and English. Your writing skills will help us shine, whether it’s emails, reports, or meeting notes.
* Team Support: Provide administrative support to various departments, whether it’s managing reports, organizing events, or helping with ad-hoc tasks. No two days will ever be the same!
* Event Coordination: Help plan and organize office events, both internal and external, from logistics to invites. You’ll make sure everything is in place and runs seamlessly.
* Stay Ahead of the Game: Be proactive! Follow up on ongoing tasks, make sure everything is on track, and jump in to help wherever needed.
Qualifications:
* Experience: At least 1-2 years in an administrative or assistant role. Bonus points if you've worked in a fast-paced office before!
* Bilingual: Fluent in both French and English (spoken and written) is essential—communication is key, and we work in both languages daily.
* Tech Savvy: You’re a pro with the Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Bonus if you know how to use other office tools, like project management apps!
* Organizational Skills: You can juggle multiple tasks at once without breaking a sweat. Prioritizing? No problem!
* Communication Skills: You can write emails, reports, and other documents with precision and clarity, all while sounding friendly and approachable.
* Self-Starter: You take initiative and can work independently while being part of a team. You know how to stay organized and are always looking for ways to improve processes.

Salary Package:
