Freelance Change Manager TDMS (French Speaking)
My client in the Pharmaceutical sector are looking for a Change Manager for their Technical Document Management Systems Project.
Role Description
The Change Manager will lead the adoption of a new technical documentation management platform, GxP compliant, ensuring smooth transition and high user engagement. This role involves managing stakeholder relationships, developing communication strategies, and overseeing training and implementation processes. The is a Global role based in Braine-L’Alleud with the possibility of infrequent travel to Switzerland and the United Kingdom.
Role Responsibilities
* Stakeholder Engagement: • Ensure all relevant stakeholders are identified, engaged, and informed throughout the change process. • Build and maintain positive relationships to foster support and collaboration.
* Change Impact Assessment: • Conduct thorough impact analysis to understand how the new platform affects existing processes and workflows. • Develop and implement mitigation plans to address any negative impacts.
* Communication Management: • Create and execute a comprehensive communication strategy to keep stakeholders informed and engaged. • Deliver clear, consistent, and tailored messages to different audience segments.
* Training and Development: • Design and deliver effective training programs to ensure users are proficient with the new platform.
* Implementation Oversight: • Support users in conducting the pilot testing phases to gather feedback and make necessary adjustments required for the next migration waves. • Support in the planning and overseeing of the full rollout of the platform, ensuring minimal disruption to operations.
* Monitoring and Evaluation: • Track usage and adoption metrics to evaluate the success of the implementation. • Collect and analyze feedback to identify areas for improvement.
* Risk Management: • Identify potential risks associated with the change and develop strategies to mitigate them. • Continuously monitor and address any emerging risks.
* Reporting and Documentation: • Maintain detailed records of all change management activities, decisions, and outcomes. • Provide regular updates and reports to stakeholders and leadership on the status of the change initiative.
Key Activities
* Stakeholder Analysis and Engagement: • Conduct meetings, surveys, and interviews to understand stakeholder needs, concerns, and expectations. • Engage stakeholders through regular updates and feedback sessions.
* Change Impact Assessment: • Analyze how the new platform will affect current processes, workflows, and roles. • Develop plans to address potential resistance and minimize disruption.
* Communication Planning: • Ensure new users are onboarded on the project, introduce the new platform, explain its benefits, and outline the implementation plan • Outline the objectives, key messages, channels, and frequency of communication. • Craft messages that are clear, concise, and tailored to different audience segments.
* Communication: • Regular Updates: • Progress Reports: Send regular updates via email, newsletters, or intranet posts to keep stakeholders informed about the project's status. • Feedback Channels: • Surveys and Feedback Forms: Provide channels for users to share their experiences and suggestions. • Focus Groups: Organize focus groups to gather in-depth feedback and address concerns. • Success Stories: • Share Successes: Highlight early adopters and success stories to motivate others and demonstrate the platform's value. • Q&A Sessions: Interactive Sessions: Host Q&A sessions to address any questions or concerns users may have.
* Training and Support: • Develop training materials and sessions to help users understand and use the new platform effectively. • Set up help desks, FAQs, and user guides to assist users post-implementation.
* Change Implementation: • Support the key users in conducting the pilot phase to test the platform with a small group of users and gather feedback for adjusting the next migration waves • Support the Project Manager in planning and executing the full rollout, ensuring minimal disruption to daily operations.
* Monitoring and Feedback: • Track usage metrics and gather feedback to assess how well the platform is being adopted. • Make necessary adjustments based on feedback and adoption rates.
