Job Title: Project Management Lead

OBJECTIVES/PURPOSE
The Project Management Lead is responsible for overseeing and managing the planning, execution, and delivery of key projects within the site. This includes managing process improvements, equipment installations, facility expansions, and other strategic initiatives or projects at the site. The role ensures projects are completed on time, and in compliance with quality, safety, and regulatory standards. The Project Management Lead will work closely with cross-functional teams to ensure alignment and drive successful project outcomes.
ACCOUNTABILITIES
Project Leadership and Execution:
1. Lead cross-functional teams in the planning, execution, and delivery of projects such as process optimizations, facility upgrades and equipment installations, strategic initiatives and other projects.
2. Develop and manage detailed project plans, including scope, schedules, budgets, resource allocation, and risk management strategies.
3. Ensure projects are delivered on time, within scope, and to the required quality and safety standards.
Project Scope, Scheduling, and Budget Management:
1. Collaborate with key stakeholders to define the project scope, objectives, and deliverables.
2. Develop and maintain comprehensive project schedules using project management tools (e.g., MS Project).
3. Create and manage project budgets (OPEX).
4. Track project milestones and manage any changes to the project scope, schedule.
Stakeholder Management and Communication:
1. Serve as the primary point of contact for all project-related communications, ensuring transparency and timely updates to all stakeholders.
2. Facilitate regular project meetings to review progress, address issues, and make decisions to keep projects on track.
3. Provide clear and concise project status reports to leadership and stakeholders, including progress updates, risks, and mitigation actions.
4. Ensure strong collaboration with other functional departments (e.g., Operations, Engineering, Quality, Procurement, Supply Chain) to ensure successful project delivery.
Risk Management:
1. Identify potential project risks early and develop mitigation plans to address them.
2. Monitor risks throughout the project lifecycle, adjusting plans as necessary to minimize impact on timelines, costs, and quality.
3. Proactively resolve issues that may arise during the project, escalating concerns to senior management when necessary.
Compliance and Safety:
1. Ensure that all projects comply with site health and safety regulations, quality standards, and regulatory requirements (e.g., cGMP, OSHA, ISO).
2. Work with relevant departments to ensure projects adhere to all internal Quality Assurance (QA) and regulatory compliance guidelines.
3. Lead efforts to ensure that health, safety, and environmental risks are managed and that the project aligns with safety standards throughout its lifecycle.
Resource and Team Coordination:
1. Coordinate the allocation of resources across projects, ensuring the right team members and equipment are available and effectively utilized.
2. Lead and mentor project teams, helping to ensure they have the necessary support, tools, and guidance to achieve project goals.
3. Manage external vendors, contractors, and suppliers to ensure timely delivery of goods and services needed for project success.
Continuous Improvement:
1. Lead the identification and implementation of continuous improvement initiatives through effective project management practices and process optimization efforts.
2. Advocate for the adoption of agile project management, lean manufacturing, Six Sigma, or other best practices where appropriate, aiming to improve project execution efficiency and operational effectiveness.
Project Documentation and Reporting:
1. Ensure accurate and up-to-date documentation for each project, including project plans, change requests, meeting minutes, risk assessments, and project reports.
2. Maintain and monitor project timelines, milestones, and performance metrics, ensuring they are reported to senior management.
3. Ensure that all project-related documents are stored properly for future reference and audit purposes.
EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
Essential:
1. Bachelor’s degree in Engineering, Operations Management, Project Management, or related field.
2. 5+ years of experience in project management within a manufacturing environment, with a proven track record of managing projects like, process improvements or facility upgrades.
3. Proven track record of delivering complex projects on time, while meeting quality standards and regulatory compliance.
4. Strong understanding of current project management methodologies (e.g., Waterfall, Agile, Lean).
5. Strong knowledge of project management processes, including planning, scheduling, budgeting, and risk management.
6. Demonstrated leadership and the ability to manage cross-functional teams and engage stakeholders at all levels of the organization.
7. Strong problem-solving and analytical skills, with the ability to identify issues and proactively address them.
8. Results-Driven: Focused on achieving key project outcomes, including financial, quality, and timeline goals, while continuously striving for improvement.
9. Excellent communication and interpersonal skills, with the ability to influence stakeholders and drive project success.
10. Experience with Organizational Change Management.
11. Proficiency with project management software and tools (e.g., MS Project, Excel, JIRA, or similar).
12. Fluency in English language.
Desired:
1. A Master’s degree.
2. PMP (Project Management Professional) certification (or similar).
3. Familiarity with managing projects in regulated industries (e.g., pharmaceuticals, food & beverage, chemicals) is highly preferred.
4. Experience with capital expenditure (CapEx) projects, including managing budgets, timelines, and resource allocations is ideal.
ADDITIONAL INFORMATION
1. Travel Requirements: Occasional travel may be required to visit other company locations, vendor sites, or project-related meetings.
2. Work Environment: Site-based role with daily interactions with manufacturing teams and cross-functional departments.
