Be a Vital Asset to the EU and Brussels Team :
1. Provide seamless support by taking ownership of your responsibilities and efficiently managing your time in order to meet your different deadlines.
2. You are the point of contact for all visitors and are fully responsible for the management of the reception.
3. Coordinate internal and external meetings, teleconferences and events from A – Z, always thinking of every little detail in order to ensure a smooth running, where necessary liaise with event companies.
4. You organise all the Director General’s travel arrangements.
5. Utilize your excellent written and spoken language skills to reply to e-mails as well as to engage with international stakeholders over the telephone and when they attend meetings.
6. You are the SPOC for all Facilities matters, entailing contact with the Landlord, the Concierge and the Cleaning Company.
7. Manage all supplies, (stationary, office equipment, food and drinks), ensuring both a professional and comfortable working environment.
8. Provide Accounting Support including expenses’ follow-up, (SAP CONCUR), invoicing (Odoo) and vendor and client forms.
9. Provide HR Support by handling onboarding including the info session.
10. Update data, Sharepoint.

What You Bring
11. Minimum 3 years of relevant experience.
12. Excellent written and spoken English with intermediate written and spoken French.
13. Proficient in MS Office with a keen eye for detail.
14. Solution-oriented and hands-on mindset.
15. Proactive and service-minded attitude.
16. Effective organisational and prioritisation skills to adapt to changing agendas and your diverse responsibilities.
17. Diplomatic, discrete and empathetic communication skills.
18. Highly motivated and dynamic team player with a genuine desire to contribute.
Offer
19. 3000 – 3500€ gross salary x 13.92, plus Discretionary Performance Bonus, (up to 10% of annual salary, via warrants), Lunch Vouchers, 7.5€, Eco Cheques, 250€, Group Insurance, 10%, Hospitalization, (Family too), Internet Allowance, 40€, Company Phone & Subscription, and Transport Reimbursement.
20. 38 hour workweek.
