The Site Management and HR Assistant role will organize and coordinate administration duties, office and HR procedures. This role will support maintaining a pleasant, safe, and compliant work environment, ensuring high levels of organizational effectiveness, communication and stakeholder orientation. This person will support the site HR function as well as provide back-up to the site reception function.
1. Ensure site entrance, cafeteria, meeting rooms and shared office are kept in order and refreshments, small supplies are available.
2. Coordinate site events and hosting site visits.
3. Represent the site direction within the “comité des fêtes”
4. Follow up and guide employee through all their requests about their ticketing’s requests to the Shared Service Center
5. Collect all relevant data for payroll administration and work closely with the Shared Service Center.
6. Give support (locally and globally) with all staff benefits: medical insurance, meal vouchers, pension plan, merit increase, etc.
7. Provide guidance on administrative and payroll assistance/orientation (absences, maternity leave, parental leave, requests for part-time work, social documents, medical visits, etc.).
8. Organize and schedule a variety of onsite training in collaboration with other stakeholder groups, such as the Shared Service Center.
9. Support hiring managers in the recruitment process, which may include drafting job descriptions, managing the workflow in our HRIS, and coaching for effective interviews.
10. Support the onboarding process and identify areas for continuous improvement.
11. Support the HRBP in managing HR processes (performance, training, indexation, new policies, payroll, etc.) and policies.
12. Work closely with Shared Services to ensure Worker council monthly, quarterly and annual presentations are provided on time and contain all relevant information.
13. Give support to HRBP in the reporting of HR KPI’s (turnover, absenteeism, HR Survey, reports, etc.).
14. Coordinate group internal communication (poster, e-mails..), promotional material as member of the communication group (Basel), and ensure proper and timely distribution.
15. Act as the SPOC (Simple Point of Contact) for site Internal communication. (e.g. news of the week, TV screen, official boards (canteen, floor)).
16. Perform other duties as assigned.
