Job Summary:
We are seeking a detail-oriented and organised HR & Office Administration Assistant to join our team. This dual-role position requires a highly trustworthy individual with excellent communication skills who enjoys administrative work. The successful candidate will assist with HR functions and manage office operations to ensure smooth day-to-day activities.
Your job:
HR Assistant Responsibilities:
Onboarding Administration:
○ Coordinate new hire orientation and onboarding processes.
○ Prepare and manage onboarding documents and systems.
Offboarding Administration:
○ Handle the offboarding process for departing employees.
○ Ensure all necessary paperwork and exit interviews are completed.
Payroll Administration:
○ Assist with payroll processing for BE-UK-FR regions (training provided).
○ Maintain accurate payroll records and resolve any discrepancies.
Benefits Administration:
○ Manage employee benefits enrollment and changes.
○ Provide support for employee benefits inquiries.
HR Tickets & Basic Requests:
○ Manage and respond to HR portal requests.
○ Dispatch requests to appropriate team members as necessary.
Time & absence Management:
○ Oversee HRSS calendars and manage time-off requests and records.
Data Management:
○ Maintain and update employee records and HR databases.
Freelance Management:
○ Oversee freelance contracts and agreements.
○ Coordinate with freelancers and ensure timely payments.
Office Manager Responsibilities:
Office Management:
○ Serve as the primary point of contact for external suppliers (Wework, Blcc).
○ Handle office issues and ensure a well-functioning office environment.
○ Manage meeting rooms
Gift & Life Events:
○ Manage and coordinate sending flowers/gifts for employee life events.
Travel Management:
○ Arrange and manage bookings for business and corporate trips.
Fleet Management:
○ Oversee company fleet operations including accidents, fines, and vehicle orders/returns.
○ Coordinate with the accounting team regarding invoicing for fleet services.
Events Organisation:
○ Plan and execute company events and activities.
Update Confluence :
○ Maintain and update company information on Qover’s intranet.
Bonus Plan/SIP Administration:
○ Administer bonus plans and employee share incentive plans.
About you:
● Minimum of 2 years of experience in HR and office management.
● Ability to work in English, as this is the main language at Qover.
● Proactive team player who takes ownership of their career, is committed to continuous improvement, and has a strong drive to get things done.
● Strong attention to detail and organisational skills.
● Effective time management skills and ability to prioritise tasks.
● Trustworthy and able to handle confidential information with discretion.
● Excellent communication and interpersonal skills.
● Willingness to learn and manage payroll processes.
● Experience with event planning and travel management is a plus.
