Job Description
As an Executive Assistant, you provide administrative support to several members of the management team. You will have a wide range of administrative and organizational tasks, among which:
1. Agenda, meetings & travel arrangements;
2. Telephone contact;
3. Preparation of presentations (mainly in PowerPoint) for meetings;
4. Prepare lists in Excel of e.g. meeting participants order lists and actin tracker;
5. Draft, edit & layout of texts (correspondence, invitations, reports and contracts);
6. Internet research;
7. Expense Reports
8. Optimization and organization of filing (paper and electronic);
9. Support / back-up of the other assistants as well as to reception when needed.
10. Support / lead the logistic organisation of IT TownhallReplacement at reception may be asked occasionally
You will work in a team of management & executive assistants and will be reporting to your bosses and to the Office Manager.
Qualifications
11. You have a relevant working experience of minimum 10 years in similar role in an international environment and have been exposed to senior executives and directors
12. Excellent command of the English language. A good command of French or Dutch language (written and oral) is a plus.
13. Good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, Internet Explorer etc.).
14. Pro-activeness.
15. Good attention to detail and natural ability to work accurately.
16. Reliable.
17. Flexible (multi-tasks).
18. Discrete and used to maintain high level of confidentiality.
19. Team player and enjoying work in a team in a high level, international, fast growing environment.
20. Excellent interpersonal skills and communication strength.
