Job Summary
We are seeking a highly skilled and experienced Office Manager to oversee the operational, administrative, and financial functions of our Brussels office. The successful candidate will be responsible for ensuring smooth day-to-day operations, managing office facilities, budgets, HR functions, and compliance with local regulations.
Key Responsibilities
* Liaise with building management to ensure maintenance, safety, and compliance
* Manage vendor relationships, office supplies, and service contracts
* Lead office refurbishments and relocations, ensuring minimal disruption
* Maintain health, safety, and fire regulations, keeping policies up-to-date and staff trained
Financial Management
* Oversee the office's annual budget, approve invoices, and monitor expenses
* Manage local payroll and coordinate billing and collections with the finance team
* Ensure cost-effective financial practices and track budget variances
Human Resources
* Manage recruitment, onboarding, and staff training in coordination with global HR
* Administer employee benefits and maintain compliance with local employment laws
* Promote positive morale and teamwork through engagement initiatives
Leadership and Administration
* Supervise administrative staff, providing guidance and performance feedback
* Ensure efficient office procedures and maintain documentation within firm's systems
* Organize office events and manage general administrative tasks
The ideal candidate will have:
* Bachelor's degree or equivalent experience, with 5+ years in office management
* Fluent in English and French or Dutch
* Strong leadership, communication, and problem-solving skills
* Experience with financial management and HR
* Ability to thrive in a fast-paced, high-intensity environment
* Previous experience in a Law Firm is a must
