Our client is a leading European company specializing in the establishment and management of coworking and office spaces, offering a wide range of services. As part of their expansion, our client’s Belgium offices are looking for a passionate and proactive Receptionist/Customer Assistant to join their growing team in various locations!
Your Key Responsibilities:
1. First Impressions Matter: You’ll be the face of the company! Greet visitors warmly and professionally, embodying the high-quality standards and values.
2. Client Support Excellence: Provide top-notch daily service to the clients. Handle room reservations, assist with ICT equipment usage, manage mail and parcel deliveries, and more—all with the utmost efficiency and care.
3. Centre Engagement: Help create a vibrant atmosphere by organizing client events, such as cocktails and conferences, especially in shared spaces.
4. Space Management: Ensure the spaces are always spotless and fully functional. Regularly check the condition of equipment and cleanliness of common areas. You’ll also oversee the quality of the service providers.
5. Administrative Independence: Take charge of administrative tasks, including daily billing for services and managing month-end invoicing in coordination with the District Manager or Assistant District Manager.
6. Payment Follow-ups: Manage invoice reminders and follow the company’s payment collection policy.
7. Supplier Management & Stock Control: Place necessary orders with suppliers, ensure accurate billing, and monitor stock levels to avoid shortages.
8. Client Data Management: Regularly review and update client guidelines in their management tools.
Your Profile:
9. A minimum of 1 year of experience, preferably in the service industry.
10. A professional appearance and a great attitude.
11. A strong customer service mindset, with an ability to listen to and anticipate client needs.
12. Someone who thrives in a dynamic, multi-tasking environment and enjoys variety throughout the day.
13. Flexibility to work across multiple locations, with a pre-established schedule (1 site per day).
14. Ability to work well in a team and collaborate with colleagues.
15. Trilingual: Fluent in Dutch, French and English.
