Tesla is looking for a part-time Office Coordinator based out of our Belgian HQ in Londerzeel, who will play a critical role supporting the teams that support Tesla’s operational and employee experience needs. Our team achieves results by being driven, innovative, collaborative and trustworthy. This role is hands-on and provides expertise in the areas of workplace operations, office management, hospitality and project management.
The Office Coordinator plans, coordinates, and leads all HQ office operations and communicates to all stakeholders effectively. As the point person for the HQ office, success in this position requires balancing the competing needs of internal teams and external visitors. This involves a high level of employee and visitor interaction. The ideal candidate will possess the acumen to communicate effectively with internal team members.
This role will support and execute a variety of workplace projects, including space management throughout the building, incl. Seating Plan, reactive tasks like broken desk, storage (e.g., lockers and cabinets), event support (e.g., coordinate staff and set-up and clean-up of events), breakrooms and common areas, department moves throughout the facility and/or other Tesla facilities.
Working hours: Monday – Friday 8:30AM – 12:30PM
What You’ll Do
Planning & Coordination
1. Support with the planning, execution and implementation, and follow up of all office tasks and projects
2. Identify local team’s needs for office tools, and provide appropriate support
3. Take inventory and order supplies for office as necessary
Operational Excellence & Processes
1. Play an active role in achieving a consistent employee and visitor experience
2. Handling all inbound mail and inbound packages service such as sorting out letters, mail and packages and informing, scanning and sending them to the right people including traffic fines management for Belgium
3. Government platform ‘ebox’ management
What You’ll Bring
1. Relevant experience in Workplace Operations, Facilities Services, and/or closely related function relating to hospitality or project management
2. Self-starter with the ability to work under minimal guidance and direction
3. Enthusiasm for exceeding expectations and driving continuous improvements in creating an attractive workplace and seamless workplace operations
4. Understanding for Tesla’s vision to be translated into innovative workplace initiatives
5. Excellent communication skills in Dutch, with a business level fluency in English and French (written and spoken)
6. Resourceful and self-motivated with ability to work in changing environments
7. Proven organizational skills, attention to detail, and ability to handle multiple tasks
