As an IT Management Support Coordinator, you assist IT Infrastructure Management with daily administrative tasks and ensure the smooth execution of internal processes. Acting as a key link between management and the project team, you facilitate effective communication, coordination, and oversight. In this role, you collaborate closely with the IT Infrastructure Unit Manager and the Project Portfolio Manager. Your strong organizational skills and proactive mindset contribute to an efficient IT infrastructure environment and the successful delivery of projects.
Key Responsibilities
* Handle daily administrative tasks within IT Infrastructure Management.
* Prepare and maintain documentation, such as meeting minutes, reports, and presentations.
* Support IT budget management, invoicing, and procurement processes.
* Ensure a structured and efficient execution of Project and Portfolio Management processes.
* Identify and resolve bottlenecks in IT Project and Portfolio workflows.
* Act as a liaison between IT Infrastructure Management and the project team.
* Monitor project progress and deadlines, providing regular status updates to management.
* Coordinate communication between the project team and other departments.
* Assist in developing project plans, roadmaps, and progress reports.
* Help plan and allocate resources across various projects.
Organization & Planning
* Schedule and organize team meetings, technical sessions, and management workshops.
* Prepare meeting materials, take minutes, and follow up on action points.
* Assist in the implementation of new management tools and processes.
Must-Have Requirements
* Proven experience as an IT Project Manager.
* Experience in a supportive or coordinating role within an IT environment.
* Knowledge of ITIL processes and project management support.
* Familiarity with IT Service Management (ITSM).
* Experience with reporting and decision-making processes.
* Experience with RFP and vendor selection processes.
* Knowledge of Service-Level Agreements (SLAs).
* Strong understanding of IT infrastructure (virtualization, storage, cloud, etc.).
* Experience with Jira, Omnitracker, Planview, and testing strategies.
* Experience in the Utilities sector.
Languages
* Fluent in French or Dutch, with a solid understanding of the other language.
* Strong command of technical English in a professional setting.
