The Order Desk Administrator is responsible for ensuring the efficient processing of customer orders in the BeLux region. This role involves order entry, managing transmissions to external warehouses, shipment follow-ups, invoicing, and maintaining proper documentation. Additionally, the Order Desk Administrator provides excellent customer service by handling troubleshooting, complaints, returns, and liaising with customers, warehouses, and transport companies to ensure customer satisfaction.This is a temporary replacement position due to contract suspension, with a potential extension for temporary workload increase until 30/11/2025.- key responsibilitiesKey Responsibilities- Efficient Order Processing:- Order entry and validation- Coordination with external warehouses- Shipment tracking and follow-ups- Invoicing and filing of order-related documents- Customer Service:- Handling customer inquiries and troubleshooting issues- Managing complaints and return processes- Maintaining strong communication with customers, third-party warehouses, and logistics providers- Ensuring a high level of customer satisfaction (100% customer-oriented approach)- Administrative Support:- Performing administrative follow-ups using Word and Excel- Managing telephone and email correspondence with various stakeholders- qualificationsBasic Qualifications:- Educational Background: High School diploma- Experience: First experience in a customer service role- Language Skills: Fluency in written and spoken Dutch and French, with a good understanding of English- Other Requirements:- Strong interpersonal and communication skills- Team-oriented mindset with a collaborative approach- Highly organized, flexible, and able to work independently- Proactive and service-oriented- Detail-oriented with strong problem-solving skills- Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable adapting to new digital toolsPreferred Qualifications:- Educational Background: Higher education degree in logistics & distribution or relevant experience- Experience: 3-4 years of experience in a customer service role- Knowledge of sales & distribution tools (e.G., SAP) is highly desirable- Experience in the consumer goods or pharmaceutical industry is a plusshare this job.
