Context
Our current People & Workplace Coordinator will be enjoying her little sweepy soon (AKA Maternity leave). And in order to give the little one the best possible start we want to give her the time she needs. Therefore, we need someone else to be our hero that saves the day from April until December.
Impact
You'll be the cornerstone for all office-related matters, managing payroll, the car park, and addressing any employee inquiries. Without our current People & Workplace Coordinator and without you stepping in, our team would be helpless (just kidding, not really).
The Role
Join Lansweeper as a People & Workplace Coordinator in our Belgium and UK offices. Your mission is to enhance the employee experience and manage the employee lifecycle. This in-office role, based in Merelbeke, Belgium, is available for a contractor or freelancer for approximately 8 months.
Responsibilities:
Payroll & Employee Benefits
* Process payroll accurately, including wages, commissions, and bonuses. Manage employee benefits programs for Belgium and UK staff, including enrollment, changes, and terminations.
* Oversee the Electric Car Park and manage fleet inquiries in Belgium.
* Streamline onboarding and offboarding, coordinating equipment, benefits enrollment, and administrative tasks for Belgium & UK.
* Maintain data entry in HRIS and Benefits portals.
* Contribute to HR projects supporting continuous improvement within the People and Culture Team.
Workplace Experience
* Be a culture ambassador, ensuring a welcoming and professional office environment. Oversee facilities, including security, maintenance, mail services, and office supplies.
* Manage daily operations and official correspondence, ensuring employees have the necessary information about office equipment.
* Collaborate with the Belgian office event committee to organize company events and celebrations.
* Address office-related issues, manage orders and access, and support travel arrangements.
* Handle HR/office expenses and invoices globally.
* Continuously seek enhancements to office functionality and the employee experience.
*Focus: Payroll & Benefits (65%), Workplace Experience (35%), and related duties as assigned.*

* At least 3 years of relevant experience in human resources support or office administration management.
* An understanding that the position is in-office due to role requirements.
* A global perspective and cross-cultural competency, evidenced by experience collaborating in international environments.
* Strong administrative skills in a fast-paced setting.
* Exceptional communication skills with extensive knowledge of written and spoken English.
* Excellent time management abilities to multitask and prioritize effectively.
Going for Gold?
* Experience in a global high-tech environment.
* Familiarity with SD Worx Payroll System (FIP & Payroll), AG Insurance, NMBS, Pluxee is a plus.
* A keen interest in IT.
