Job Description
Job Purpose:
Enhance the organisation’s effectiveness by assisting with the planning and execution of all events, including sponsorship development, marketing, advertising, advocacy, and project management. The role also involves active support in Special Interest Groups (SIGs), particularly with ECPHA initiatives, and requires strong communication and design capabilities.
Responsibilities:
1. General
o Attend meetings and follow up on action points of minutes when assigned
o Draft letters/emails for third parties as requested
o Complete tasks as assigned per the congress programme timeline
o Assist with site visits when necessary
2. Communication and Website
o Responsible for updating of EAHP web site and social media presence
o Communication with sponsors and other external parties as requested
o Prepare and send promotional emails as needed
3. Marketing
o Assist with location of email lists and other contacts to promote events
o Enter contact details into software as needed, maintenance of database
o Maintain excellent relationship with sponsors, sales, design and follow up
o Locate, obtain and post necessary information for web site (i.e. Venue info, transport info, etc.)
o Create InDesign files for event announcements, programme book, signage and other flyers as needed
o Maintain customer confidence and protect operations by keeping information confidential
o Prepare presentations for meetings as needed with follow up reports by collecting and analyzing information
o Establish and maintain a centralized archive of presentations, marketing materials and communications that is accessible to various functional groups internally
o Create and distribute rollout communications for program updates, enhancements, direct marketing programs and sales tools
o Create and maintain exhibitor prospectus and partnership package documents
o Communicate with sponsors on various programs and sponsorship opportunities
4. On-site
o Meet with sponsors, assist where needed
5. After the events
o Follow up of post-event tasks and respond to emails (i.e., surveys, presentations uploaded to web, sponsorship follow-up, etc.)
o Social media posts
Minimum skills/qualifications:
* Either a bachelor’s degree in business/marketing or 2 years’ experience in sales and/or marketing
* Fluent English Writing/Reading/Speaking, Scheduling, In-Design, Photoshop, Illustrator, Microsoft Office advanced, advanced database skills, Organization, Time Management, Verbal Communication, must be a self-starter, proactive and have problem solving skills
* Must be passionate about non-profit marketing and have a minimum of 2 years’ experience in marketing & communications
* Must demonstrate proven success with sponsorship sales
* Other languages preferable but not mandatory
* Must be an outgoing, sociable and a people person
* Must be able to work independently and as a team under pressure/deadlines
* Excellent multi-tasking capabilities
* Must be able to travel as needed
* Must be flexible to work weekends and overtime when needed
