Context
Are you ready to take the lead in driving strategic success in tenders? In this role, you will be at the heart of the national and local tendering process, for both cold and hot beverages, ensuring seamless coordination, strategic decision-making, and stakeholder alignment.
You will support Field Sales and Key Account Managers (KAMs) by ensuring precise administration and data analysis while proactively influencing outcomes. Your role is both strategic and operational, combining data-driven decision-making with hands-on engagement.
How will your time be spent?
* 50-60% – Administration & Process Management: Overseeing tender submissions, ensuring compliance, and maintaining a structured back-office.
* 40-50% – Communication & Stakeholder Management: Guiding internal teams, coaching sales reps, influencing key customers, and collaborating on tender strategies.
Beyond execution, you’ll contribute to the Annual Business Plan (ABP), working closely with KAMs to develop strategies that enhance future tender success and market positioning.
Responsibilities
Customer Engagement & Influence
* Build strong networks and relationships at tender-related events alongside KAMs.
* Engage and influence national customers (e.g., hospitals, workplace tenders).
* Support KAMs and lead customer visits related to tenders.
Internal Communication & Strategy Alignment
* Guide Field Sales on where and when to influence tenders via structured reporting.
* Define the strategic approach for each tender in collaboration with Field Sales/KAMs.
* Work in synergy with the KAM Educational/Health team to ensure a unified tender strategy.
Learning & Development
* Coach and support Sales Representatives on local tender influence tactics.
* Train and inform BWS, WHS, and AWI Field Sales teams on tender procedures.
* Collaborate with external Tender Specialist Partners (e.g., EBP/GOVEX).
* Provide hands-on coaching to the field team managing major local tenders.
Tender Process & Compliance
* Ensure correct use of TenderMatrix, Free Pricing Tool, and Budget Request Tool.
* Assign Direct Business Responsibility (DBR) for each tender:
o Local Customers: Led by Field Sales.
o National Customers: Led by the Tender Specialist.
Administration & Reporting
* Track and manage all ongoing, outgoing, and upcoming tenders.
* Ensure compliance and deadline adherence for all tenders.
* Deliver structured reports to KAM Educational/Health.
* Oversee the finalization of all outgoing tenders and maintain key documents in TeamSite.
* Manage the Tender Back-office, ensuring accurate Salesforce tracking of tender outcomes.
Annual Business Planning (ABP)
* Assess the current tendering process and identify improvement opportunities.
* Develop a strategy to enhance tender success rates based on market trends and insights.

* Coaching and training abilities, supporting teams in tender procedures and strategic execution.
* Adaptability and quick learning, with the ability to grasp and optimize tender processes.
* Analytical and problem-solving skills, leveraging insights to improve tender success.
* Ability to lead change in tender management, driving continuous improvement and strategic alignment.
Qualifications & Experience
* Professional proficiency in French, Dutch, and English (spoken and written).
* Proficiency in Salesforce, TenderMatrix, and budgeting tools (or willingness to learn).
* Experience in tender coordination, sales operations, or key account management is a plus.
* Ability to navigate complex tender requirements and collaborate across functions.
