Excel Careers and Excel Interim provide multilingual administrative support staff to companies across all sectors, specializing in profiles such as Receptionists, Management Assistants, Executive / Personal Assistants, HR Assistants, Sales & Marketing Assistants, Office Managers, Customer Service Representatives and Digital Marketing Officers. We provide both permanent and interim contracts. We are currently recruiting an Executive Assistant / Project Coordinator for one of our clients based in Brussels. Salary package : monthly salary in line with experience, meal vouchers, group insurance and health insurance. The role is inclusive of, but not limited to :
1. Supervise project workflow, ensuring timely progress through all phases
2. Actively manage team activities for continuous project advancement
3. Communicate updates on client expectations and candidate status, adjust plans as needed
4. Schedule business meetings, calls, and interviews
5. Handle communications with clients and candidates
6. Develop, revise, and format client-facing documents for accuracy and alignment
7. Foster strong relationships with firm members, clients, prospects, and candidates
8. Serve as the main contact between consultants, clients, and extended teams
9. Coordinate with team members, researchers, office coordinators, and shared services
10. Host clients and candidates at the local office, ensuring a smooth experience
11. Manage billing process, expense reports, client invoicing, and receivables tracking
12. Maintain and update the confidential database with accurate data entry
13. Collaborate with shared services on data entry and financial components
14. Assist in business development efforts, planning, content creation, and outcome tracking
15. Identify and develop opportunities to support business development strategy
Essential Skills and Experience :
16. Advanced proficiency in MS Office (Word, Excel, PowerPoint) and exceptional proofreading abilities.
17. Fluency in English and Dutch with strong drafting and editing capabilities.
18. Technologically savvy, with a preference for working with advanced databases.
19. Excellent administrative skills, capable of managing multiple tasks and follow-ups efficiently.
20. Highly organized, precise, and adept at setting priorities.
21. Effective communication and interaction skills with clients and candidates at all levels.
22. Ability to handle confidential information with discretion and professionally manage phone calls.
23. Team-oriented, willing to support other recruiting staff members when needed.
24. Pleasant, well-rounded, and mature personality; stress-resistant with a strong commitment to professionalism and client satisfaction.
25. Preferably holds a university degree from a reputable institution.
