As Receptionist you are the first point of contact for our international clients and represent the firm in a first contact.
Key Tasks
1. Handling of switchboard, forwarding calls, taking messages, screening phone calls
2. Welcoming visitors, accompanying them to the conference rooms, and informing their host
3. Administrative support for visitors (printing, copying, taking care of special requests)
4. Handling visitors' badges
5. Assistance with hotel/restaurant bookings, travel arrangements
6. Reservation of conference rooms, making updates and changes
7. Ordering catering and liaising with the catering and secretaries
8. Set up meeting room in absence of catering
9. Checking conference rooms
10. Liaising with IT – Video conference set-up and checks
11. Reservation of transport such as limousines and taxis
12. Organizing all sorts of courier services (T Verts, T Bleus, DHL)
13. Expediting mail via Bpost, including registered letters
14. Order flowers and gifts
Key strengths
Experience/ knowledge
15. Good administrative skills, with minimum 3-5 years' experience as Receptionist
16. Excellent verbal and written communication in English and French or Dutch. Knowledge of German or the other national or European languages is a valuable asset
17. Good technical skills to include fast, accurate drafting and typing with experience of Windows based packages including Word, Excel, PowerPoint and Outlook
