Job Description:
* Maintain calendar, schedule appointments, meetings and conference calls;
* Seek challenges in cost & time efficiency for international travel bookings;
* Act as deputy in dealing with internal (CEO, other VP's Lead Team Members, HQ functions and support staff) & external 'customers', and be the first point of contact for the VP's;
* Coordinate closely with the VP in his absence, screen & identify electronic and hard copy mail, and set the priority of action required;
* Act as liaison, problem solver and facilitator;
* Liaise with the Assistant to the CEO to coordinate activities and appointments;
* Assist the Department's Leader in drafting communication notes as well as presentations;
* Participate actively in Team meetings, take minutes and follow-up on actions with Lead team Members;
* Input in the expense reports and monitor progress;
* Organize Lead team meetings, videoconferences and conference calls;
* Fluent in French and English;
* Manage priorities;
* Action oriented, hands-on;
* Discreet and stress resistant;
* Problem solving skills;
* Composure, maturity, comfortable within a higher management level environment;
* Integrity and trust;
* Team player;
* PC literate including fully competent in MS Office (PowerPoint, Word, Excel, and Outlook) and comfortable with electronic mail systems.
