The Corporate Services (CS) team creates a productive, rewarding, and secure working environment by providing the necessary tools and support to work efficiently and effectively.
We collaborate with other teams, support their goals, and facilitate a professional work experience for all.
REPONSIBILITIES
- Partner with other members of the EMEA Corporate Services team on special projects and firm-wide administrative oversight.
- Act as the office liaison for facilities and property management issues.
- Manage office and pantry supplies inventory, ordering, receiving, unpacking, and tracking on replenishment timing.
- Coordinate with vendors including cost negotiation, contract implementation, and invoices reconciliation and payment process.
- Manage postal and courier services including receiving company documents and internal dispatchment.
- Assist with planning and coordination of internal events such as company town halls meetings, executive meetings and offsites, office lunches, team events, and holiday parties.
- Collaborate with Office Head.
- Provide help with regional Facilities Management projects. Support any office related projects (AV upgrade, refurbishments, construction works, move of offices, etc.)
- Being the primary contact for office IT related queries and working with a global team on standard procedures relating to IT equipment
- Work with the People Team to provide ad-hoc HR support and language translation support.
- Monitor and address issues submit through ISS’ internal service request ticketing system, Service Now (includes visitor management and reception – answering calls, greeting visitors and staff, adding visitors to security system, and directing them appropriately)
- Being the primary contact for office security and working with a global team on standard procedures relating to security and contingency planning
- Managing Health & Safety and Fire Safety Procedures ensuring we are compliant with legislation, arranging training and establishing standards and procedures where necessary.
- Other ad hoc projects and duties as advised by reporting manager.
REQUIREMENTS
- 2-3 years of experience in relevant field of office administration
- knowledge of English language (C1 or above)
- Strong office administrative skills
- Strong communication skills verbally and in written form as well
- Ownership of projects & ability to plan ahead
- Experience in multinational environment
NICE TO HAVE
- knowledge of French/Dutch language (at least B2)
- basic accounting background & basic interest in IT
