We are currently looking for a talented Office Manager (NL/FR/ENG) - part time, to replace our current incredible Office Manager who is leaving soon on maternity leave. We foresee a start early March to ensure a smooth transition and a month of hand-over.
Job Description
As an Office Manager, you will be responsible for ensuring the smooth and efficient operation of our Belgium office during 4-5 months. You will oversee daily administrative activities, coordinate office functions, building management and support HR and finance teams to maintain an organized and productive work environment. This role is crucial in fostering a positive workplace culture and supporting our consultants and management team.
What will your new challenge look like?
1. You will manage office supplies, facilities, and vendor relationships to ensure a well-functioning workspace.
2. You will oversee office and parking maintenance and will ensure the daily preparation of the office for the meetings,
3. You will coordinate the logistics around the different events or trainings that we are organizing (food, space organization, etc)
4. You will manage contracts and relationships with service providers (cleaning, catering, office supplies, etc.).
5. You will assist in onboarding new employees by coordinating access badges, office equipment, phone ordering, car delivery and welcome kits.
6. You will act as the point of contact for employees regarding office-related inquiries.
7. You manage office budgets, expenses, and invoicing processes in collaboration with the finance department.
8. You handle petty expense reports for office-related purchases.
9. You negotiate contracts with suppliers to optimize costs while maintaining quality.
10. Support marketing initiatives by coordinating internal and external company events.
11. Manage meeting rooms, catering, and travel arrangements for employees and executives.
12. Work closely with IT support teams to ensure office equipment such as printers, telecommunication systems, and video conferencing tools.
13. You will report directly to the CFO
