Job Description:
As Office & Admin Coordinator, you will be a cornerstone of the Brussels teams daily operations. Your role is to provide administrative, logistical, and communication support to ensure everything runs smoothly.
Your main responsibilities:
? Administration
Maintain accurate and systematic records using the clients CRM
Coordinate the newsletter (layout, timely dispatch content provided by the team)
Serve as an occasional liaison with HR and finance teams based in Sweden
? Meeting & Event Support
Oversee meeting logistics (room bookings, welcoming participants, catering coordination)
Collaborate with colleagues, members, and external partners
? Internal & External Communication
Ensure fluid communication with the Stockholm office
Maintain effective information flow within the Brussels team
? Office Management (Day-to-Day)
Keep the office running smoothly (coffee, supplies, positive work atmosphere)
Support the current Office Manager in continuously improving the workspace
Ensure compliance with workplace safety standards
? Procurement & Future Projects
Assist with the upcoming office expansion project (scouting new office spaces, planning the move)
Candidate Profile:
Are you an organized, proactive, and solution-oriented individual? Do you thrive in environments where no two days are the same and your flexibility is a true strength? Great!

? 35 years of experience in an administrative or similar role
? Languages: fluent English (mandatory) + French and/or Dutch. Swedish or another Scandinavian language is a plus
? Comfortable in multicultural settings with strong interpersonal skills
? Able to stay clear-headed and structured in dynamic environments
? Excellent communication and presentation skills
? Fast learner, flexible and adaptable
