Job Description:Being responsible for the efficient functioning of Brussels office through a range of administrative, financial and operational tasks. Direct report with the National Managing Director (operational), you will also be closely connected with all departments concerned at the Headquarter based in Paris (functional).Your responsibilities typically include:1. Staff administration: Welcoming new employees, informing employees about Belgian social legislation and HeadMind Partner specificities, sharing the internal rules of procedure and the rules of safety, transferring expenses reports to the head office after first local audit.2. General services: Management of the Belgian accommodation, dealing with suppliers, correspondence, and queries.3. Fleet Management: Ordering vehicles fleet, application of the car policy, reassignment of vehicles to new drivers, fines, insurance & claims management, end of contract management, etc.4. Logistical support: Manage phones subscriptions, laptops, etc., in direct contact with the IT department.5. Corporate events: Manage and organize internal & external office relations such as receptions, events, meetings, etc., in a trilingual environment: FR/NL/ENG.6. Accountancy: Transmission of documents to the accounting department at the head office based in Paris.7. Credit Management: Customers recovery upon head office request.8. Legal services: Main point of contact with the head office legal department particularly for the follow-up of suppliers/clients contracts and eventually for litigations.Successful candidate:- You have a Bachelor’s degree.- Trilingual FR/NL/ENG.- Strong interpersonal, organizational, time management, and budgeting skills.- Adaptability, Initiative, reactivity.- IT skills (software packages).#J-18808-Ljbffr
